1. Introduction

This Privacy Policy explains how Topmind Recruitment (“Topmind”, “we”, “us”) collects, uses and shares personal information when you use our website and desks. It should be read together with our Terms of Service. By creating an account or using the Service, you acknowledge this Policy.

2. Information we collect

Account and profile data (name, email, phone, nationality, location, education, experience, skills, photo, LinkedIn URL, challenges you choose to share). CV and document text you upload or paste. Search preferences (preferred countries, roles, remote/relocation choices). Employer, sponsor or investor organisation details. Usage and technical data such as approximate device/browser information, logs needed for security, and cookies or similar technologies required to keep you signed in. Communications you send via contact forms or support email. Payment-related metadata processed by our payment provider when you buy a paid seat (we do not store full card numbers on our servers).

3. How we use information

We use personal data to: create and secure your account; verify email where required; match you to opportunities; rank candidates for employers who post roles; operate Pulse and related discovery features; personalise search preferences; improve the Service; prevent fraud and abuse; send transactional messages (codes, security notices); and comply with law. AI providers may process CV or profile text when those features are enabled, solely to provide extraction or drafting you request.

4. How we share information

We may share information with: employers when you apply, shortlist, or appear in a ranked candidate list for a role they posted; service providers who host, email, analyse or process payments for us under contract; professional advisers or authorities when required by law or to protect rights and safety; and other hub members only as needed for features you use (for example ideas behind an NDA). We do not sell talent contact lists as a placement brokerage product. Public pages may show limited non-sensitive content you choose to publish.

5. International transfers

We may process data on servers or with vendors outside your country (including where cloud, email or AI providers operate). Where we do, we take steps appropriate to the risk and applicable law. Opportunity matching may involve employers in other countries — sharing for an application or ranking is part of the Service you request.

6. Retention

We keep account and profile data while your account is active and for a reasonable period afterward for security, dispute resolution and legal compliance. You may request deletion of your account; we will erase or anonymise personal data unless we must retain it (for example billing records, fraud logs or legal holds).

7. Security

We use administrative and technical measures appropriate to the nature of the Service (including hashed passwords and access controls). No online system is perfectly secure. Protect your password and device, and tell us promptly if you suspect unauthorised access.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or restrict certain processing of your personal data, or to object to certain uses. You can update much of your profile in the desk settings. For other requests, contact us via the Contact page. You may also withdraw consent where processing is consent-based, without affecting prior lawful processing.

9. Children

The Service is not directed at children under 16 (or the higher age required in your country for digital consent). If you believe a child has provided personal data, contact us and we will take appropriate steps.

10. Cookies

We use essential cookies or similar storage to keep you signed in and protect sessions. We do not use advertising trackers as a core product feature. You can block cookies in your browser, but some features (including login) may not work.

11. Changes

We may update this Privacy Policy by posting a new version with a revised effective date. Material changes will be highlighted on this page. Continued use after the effective date means you acknowledge the updated Policy.
